Can't show up in court, can I send a letter?
Can I communicate to the court that I can’t come to a trail in that other city at this time and can I send the court any kind of documention or letter concerning the case?

If you send a letter to the Court about not being able to show up, you are just delaying the enivatable. The case may or may not be continued. If your hearing is to be held in several weeks the judge may grant a continuance. If the hearing is to be in a few days, your chances would be slim and none. Oh yes, you also have to contact the other side's attorney and get them to agree to the continuance before you send a letter to the judge. In some courts you need to get the opposing side's agreement to the continuance as well. Since I don't know what state, what type of court, etc. your best bet would be get in touch with the other side as soon as possible.

Are you the Defendant? Are you under Subpoena? "Requested" to appear? What is your legal status in the matter?

You can request a new date as the defendant. Also if you believe this is being done in the wrong court, you can ask for it to be transferred to the proper court near you.

But all of it has to be a motion, not just a "letter"
