I have a new business (farm house) aimed at supplying meat to hotels and restaurants. I do bread the animals; cow, ram, sheep, goat, chicken, etc in the farm and then slaughter and package the meat to those businesses.

I recently got a contact with a Five-Star Hotel and would like to send an introduction letter/proposal for the supply of meat.

Kindly help me draft a standard prototype letter for this purpose.

In a letter, it is best to have the name of the person. A standard letter often does not get the attention that you would like.
Some things for a proposal letter:
Can you get the name of the person responsible for Food Service? If you just send it to Hotel, it may be thrown away.
Do you know what their standards are for raw products?
Have you received a license to process meat products?
Any thing that you can put in a letter about how well your farm operates and how certified it is would be a plus.
Invite them to your farm to see how you raise your animals.
Always include your name, address and telephone number.
If you have a price list, include that also
With the letter it would make a better impression if you had additional materials. For example a phamplet with pictures of your farm to show how you raise your animals. You can make one from a computer.
Be prepared for a visit if they accept your proposal Be prepared to send them samples of your processed meat once contact is made. Good luck
