Kindly help me in Writing a request letter to my HR Manager for re allocating the compnay accommodation from Top floor to Ground floor. The reason to relocate is that my mother is suffering from ostero arthritis and doctor has advised not to climpb stairs.
I want to write to my HR manager requesting them to re locate me on ground floor. Im staying in the company accommodation since last 4 years.

What I would suggest doing, is to start your letter on this thread, without putting any contact information in it, so that we can take a look at it and suggest to you ways that you might make improvements to it. You know more about the situation than anyone else does here, so doing it in that way would seem to be the way to go.

How I would suggest starting the letter would be something like the following: Dear [Name of person],

Please accept this correspondence as a request to move my (office?), (living quarters?), (living accommodation?), from the top floor to the ground floor. I'm making this request because my... (and, I'm sure that you can continue it from there.)

Is there a reason that it needs to be in writing, please? If you've lived there for four years, than I would like to think that you might know administration enough that you could have an open dialogue with them. But, I am assuming things here. If it needs to be in writing, it needs to be in writing and that is what we'll help you with here.

My mother has been diagnosed with ostero arthritis. Her doctor has advised her not to climb stairs (see attached doctor's note). Can you please transfer my apartment to a ground floor unit at your earliest convenience.

Short and sweet, that's all that's needed. You do have to understand that a ground floor unit may not be immediately available. So you might have to wait for someone to move out.

Actually I had a verbal communication with HR team but they have asked me to put it in writig so that this can be communicated to Corporate housing dept. The issue here is that the Housing dept does not easily allow anybody to shift. Nad this is a genuine request I'm making. In fact I had made a request earlier but it was rejected. Now I want to make a request making a emphasise on the reason to shift.

I am not aware of any specific reason. The reason that the HR gives is that it is not in the policy to shift the housing locations. But as I have a genuine reason , I suppose the policy can be reviewed as this is a private organisation. I want to write it in a proper manner this time and if this time it is unherad then probably ill write to Corporate HR marking a cc to ED of the organisation.

Please do consider posting a draft of such a letter on this thread so that we can review it and suggest ways that you might make improvements to it. Please also, do not include any contact information in the letter so that privacy can be maintained here.

See the above changes in italics. But I do have some other questions which could lead to more changes. Was the previous request in writing? Did you receive a written objection? If there a flat big enough for your parents and you? Are you required to use company housing? Is there a handbook or some written policy on the use and assignment of company housing? Where are you located (general area)?

Thanks for th help.. replying back to your questions.. earlier I had made a verbal request.. the flat is big enough for my entire family.. its not mandatory to use company accommodation but if I have to buy on my own or rent an appt it will cost me a huge amount in the city where I'm staying.im located in a metropolitan city in India

If the previous request was all verbal and two years ago, I wouldn't mention it at all. But you NEED to attach a letter from the doctor.
