I know that your question is somewhat dated now and I'm sorry that no one came along to address it. But, did you finish your letter? If not, then you might want to consider posting a draft of it here, without putting in any contact information.

If you do that, I'm sure there will be those of us who'll be will to take a look at it and suggest ways that you might make improvements to it.

I will be blunt, I am sure your company has written 100's of letters to other buyers though the years, what do some of them look like.

The move our new offices will take place over this coming weekend.For everything to run smooth,move will have to clean out their own desk and pack up the contents in boxes that will be provided. You will need to take everything off the walls too, and please pack it along with the boxes.
